Patient and Carer-recorded Video Service for Diagnosis and Management

Why are we offering you this service?

Videos, recorded by patients and their carers can help clinical teams diagnose, treat and monitor certain conditions.

vCreate is a web-based service which allows patients and their carers to quickly and securely share videos they have recorded on their smartphone, with their doctor or nurse. Videos are uploaded to a secure cloud and can only be accessed by your clinical team.

What are the possible benefits?

Using this service may help your clinical team to diagnose and treat your condition more quickly and effectively. The service may be particularly important when it may be difficult for you to attend the clinic or hospital in person.

How does the service work?

You will receive an email invitation from your clinical team with a personal registration link. When registering you will be asked to consent to the service and to choose a password. Your account will be activated soon after. For children and adults who cannot consent, the person with legal right to consent can register on their behalf.

  1. When an event occurs record a video on your phone in the usual way.

  2. When you are ready to send the video, log-in to the vCreate service with your email, password and passcode. The system will guide you through the simple steps needed to send the video.

  3. You will also be asked to answer some questions to help your clinical team interpret the video.

  4. The system takes you to your phone's camera roll and you choose which video to upload.

  5. Uploading the video takes only a couple of minutes. The original video will stay on your phone.

Your clinical team will respond to you in the normal way, for example by phone, email or letter. They can also send you messages on the vCreate Neuro service. Sometimes your team will be able to respond on the same day but this cannot be guaranteed and may take longer depending on the nature of the video and staff availability. Your team will record their action in your medical notes. In some, but not all, hospitals they may also be able to transfer your videos to your electronic patient record.

PLEASE NOTE. THIS IS NOT AN EMERGENCY SERVICE. IF YOU NEED URGENT ADVICE OR ASSISTANCE SEEK HELP IN THE USUAL WAY BY CALLING YOUR CLINICAL TEAM, THE APPROPRIATE EMERGENCY SERVICE, OR ATTENDING ACCIDENT AND EMERGENCY DEPENDING ON THE NATURE OF THE PROBLEM.

Is there anything else I need to do?

Yes, each time you use the service you may receive a short survey by email.

Please complete this. It only takes a couple of minutes and your views are essential to help us decide whether the service should continue.

Is the service secure and approved?

The vCreate service has received approval for use within your hospital. It was developed in conjunction with clinical teams in NHS Scotland. Videos are stored in a secure cloud (hosted by Microsoft Azure) and are only available to your clinical team using their secure login.

What happens to my videos afterwards?

If you are discharged by your clinical team and not receiving ongoing care then your account may be closed and your videos may be deleted (unless the clinical team have transferred them to your medical record).

When you register you can provide optional consent for research and teaching. If you provide this consent your or your relative's videos will be retained by the clinical team for these purposes only, and with permission and oversight provided by a Research Ethics Committee.
